The detail
WhatsApp Business API integration connects WhatsApp to the software your business runs on, such as your CRM (where customer records live), booking or order system. It is for businesses whose customers already message them on WhatsApp and whose team has outgrown a single phone. Confirmations and reminders go out on their own, and every conversation lands where the whole team can see it.
Why move from the WhatsApp Business app to the API?
The app works until volume grows. It lives on one phone, one person answers at a time, it does not know about your orders, and it cannot send a reminder by itself.
The API removes those limits. Several people reply from the same number. Your booking, order or payment system sends messages on its own. Customers can start a chat from your website or an advert. Everything stays on WhatsApp, where your customers already are.
What can a business do with it?
The common uses:
- Confirmations and reminders for bookings, appointments and payments due.
- Order and delivery updates.
- Support conversations shared across a team.
- Lead capture, where a message from an advert creates a record in your CRM.
- Payment links sent in the chat, through a payment gateway you already use.
We build only the flows you need, so neither your team nor your customers face a long menu of options.
What are WhatsApp's rules for business messages?
WhatsApp is strict about spam. Customers must opt in to hear from you. Messages you start after the short window that follows their last message must use pre-approved templates. Numbers that send unwanted messages can be limited or blocked.
We handle this as part of the build: clear opt-in on your forms and website, templates written to WhatsApp's rules and submitted early, and a plan for consent and storage of personal data.
How we set it up
We learn how customers reach you today, what your team sends by hand and which systems hold the data. Then we choose the provider, list the conversations worth automating, draft the templates and plan the connections. You approve the scope.
We set up the account and number, build the flows and test them with real scenarios. At launch we train your team on the shared inbox and watch the first conversations closely.
What does a good WhatsApp setup look like?
A customer books and gets a confirmation straight away. Before the appointment, a reminder arrives with a button to reschedule. If they reply with a question, it lands in a shared inbox where anyone available can answer, and the conversation is saved against their record in your CRM. Your team sees which messages were delivered and read, and nobody sends bulk messages from a personal phone.
How the TechSum Standard applies to WhatsApp
- Secure by default: inbox access is per person, not one shared login, and customer phone numbers are stored only where they need to be.
- Built to scale: flows are built so a new branch, a new reminder or more conversations means adding to them, not starting over.
- Tested before it ships: every flow is run with real test messages, including odd replies, before a customer receives one.
- Looked after after launch: templates, rules and volumes change, and a Care Retainer keeps the flows current and reports on what works.
- Small changes handled, not invoiced: rewording a reminder or adding a quick reply gets done, not quoted. New templates still go through WhatsApp's approval.
- Honest advice: if your volume is small, the free WhatsApp Business app may be all you need, and we will say so.
When the API is not what you need
If you want to send bulk messages to a bought list of numbers, we will not build it. It breaks WhatsApp's rules and puts your number at risk. If only one person ever answers and messages are few, the free app is enough for now.
What WhatsApp connects to
WhatsApp is usually the front door to something else. An assistant that answers common questions is WhatsApp AI reception. Connecting it to other tools without much code is workflow automation. Customer phone numbers and messages are personal data, so consent and retention follow our DPDP Act work, where we implement and partner counsel advises on interpretation. The same team builds and looks after all of it.

FAQ
Questions we get asked
What is the WhatsApp Business API?
It is the official way for a business to connect WhatsApp to its own software. Unlike the WhatsApp Business app on a phone, it lets several people reply from one number, sends messages automatically and links to your systems. Access goes through Meta's WhatsApp Business Platform, usually via an approved provider.
Can I message customers whenever I want?
No, and that protects you as much as them. Customers must opt in first, and messages you start after the short window following their last message must use templates WhatsApp has approved. We design the opt-in and the templates so your messages are allowed and welcome.
Can I keep my current WhatsApp number?
Often, yes, but the number has to be removed from the regular WhatsApp apps first. We check your situation and plan the move so you do not lose chat history that matters.
Can WhatsApp replies be automated with AI?
Yes. An assistant can answer routine questions from your own approved information and hand over to a person when needed. That is covered under WhatsApp AI reception.
What will it cost to run?
Our build is usually a fixed-scope project, with optional monthly care, and the terms are agreed in writing before work starts. WhatsApp and the platform provider charge their own fees for conversations, and we help you estimate those before you commit.
