Can an AI assistant answer customer enquiries on WhatsApp?

Customers ask the same questions on WhatsApp at all hours. An AI assistant can answer the routine ones from your own information and pass the rest to a person.

Yes. An AI assistant can answer routine customer enquiries on WhatsApp, such as opening hours, packages, availability, order status and how to book, using information you approve, and pass anything else to a person. It works well where many customers ask the same questions. It should not handle complaints, negotiation or anything where a wrong answer is costly.

What does an AI reception on WhatsApp do?

Think of a receptionist who never sleeps and only answers from a script you wrote and approved. A customer messages your number. The assistant reads the question, finds the answer in your content, replies in the customer's language, and, where useful, collects details or books a slot.

Behind it sit three pieces: a connection to the WhatsApp Business API, a language model that understands the message, and your own information, such as a price list, FAQs, schedules and policies. Connected systems like your calendar, CRM or order system let it do more than answer. We describe our approach on the page about WhatsApp AI reception.

Which enquiries is it good at?

Repeated, factual, low-risk questions.

  • Timings, locations, directions and contact details.
  • Course, package or service descriptions and what is included.
  • Availability and booking, linked to a calendar.
  • Order status, linked to your order system.
  • Documents required, process steps and eligibility.
  • Capturing a lead's details and passing them to the right person.

For a school, that may be admission dates and the visit process. For a clinic, appointment slots and preparation instructions. For a travel firm, package inclusions and visa documents. For a real estate firm, project details, brochures and site visit booking.

What should stay with people?

Keep a person in charge of:

  • Complaints and upset customers.
  • Negotiating price or custom requests.
  • Medical, legal or financial advice.
  • Refunds, exceptions and anything involving money moving.
  • Unusual cases where the assistant has low confidence.

Design the handover well. When it triggers, the assistant tells the customer a person will reply, gives an expected time, and passes the conversation history so the customer does not repeat themselves.

How do you stop it giving wrong answers?

Language models can invent details if allowed to. Reduce this with a few design rules.

  • Answer only from approved content, retrieved at the time of the question.
  • Where the content has no answer, say so and hand over.
  • Never let it quote prices or availability unless it reads them live from your system.
  • Keep a log of every conversation and review it weekly at the start.
  • Test with a few hundred real past questions before launch, and fix the failures.

Treat the first month as a pilot with close review. Our guide on when an AI agent is worth building explains how to judge results.

What about language, tone and Hinglish?

Customers in India and the Gulf often write in a mix of languages, in short messages with spelling variations. Test with your own customers' real messages, including voice notes if you want them supported. Define the tone: formal or friendly, how to greet, how to sign off. Provide approved wording for sensitive topics.

If you serve Arabic speakers, check how the assistant handles right-to-left text, names and numerals. Quality varies by language, so test before promising it.

What are the WhatsApp rules to follow?

The assistant sits on top of the WhatsApp Business API, so the platform's rules apply. Customers must have opted in, messages outside the 24-hour reply window need approved templates, and Meta's terms limit general-purpose chatbots. Our note on what the WhatsApp Business API can and cannot do goes through each rule. Make it clear the customer is chatting with an assistant, and offer a way to reach a person.

What about privacy?

Customers share names, phone numbers and sometimes sensitive details. Under India's Digital Personal Data Protection Act, 2023, you need to give notice about what you collect and why, and you need consent. Decide how long you keep chats and who can read them. Ask your AI and WhatsApp providers where data is processed and whether it is used to train models. We implement the technical controls, and your counsel advises on legal interpretation.

How do you set it up?

  1. List the 20 to 30 questions customers ask most. Your existing chats are the best source.
  2. Write approved answers, and decide who owns keeping them current.
  3. Decide what the assistant may do: answer, collect details, book, send links.
  4. Connect the WhatsApp number, calendar or CRM.
  5. Test with real past messages, including awkward ones.
  6. Launch to a small share of traffic, with a person watching.
  7. Review conversations weekly, update answers, and widen the scope.

Who owns the assistant after launch?

Someone in your team should own the content it answers from. Prices, dates and policies change, and the assistant is only as current as its sources. Name a person who updates answers, reviews the weekly log of unanswered questions, and decides when to widen its scope. Agree also who is on call when the assistant fails or the WhatsApp number is restricted. Without an owner, an assistant slowly becomes out of date.

How do you know it is working?

Track the share of enquiries resolved without a person, the time to first reply, the number of handovers and the reasons for them, leads captured, bookings made, and customer feedback. Compare them with your numbers from before. If a measure does not improve, change the design instead of adding features.

Questions

Will customers know they are talking to an AI?

They should be told. Say so in the first message and offer a way to reach a person. Honesty builds trust and avoids frustration when the assistant reaches its limits.

Can it take bookings or payments?

It can collect details and check availability, then create a booking in your system or send a payment link. For sensitive steps, keep a confirmation by a person or a clear summary the customer approves.

What languages can it handle?

Modern language models handle English, Hindi, Arabic and many other languages, but quality varies, especially for mixed-language text such as Hinglish. Test with real messages from your customers before launch.

What happens when it does not know the answer?

A well-designed assistant says so and hands the conversation to a person, with the chat history attached. It should never invent prices, availability or policies.

Is it allowed on the WhatsApp Business API?

Yes, for business uses such as support and enquiries, subject to WhatsApp's terms, opt-in rules and template requirements. General-purpose chatbots are restricted, so the assistant needs a defined business purpose.
